ConvertLabs vs ZenMaid: Which Fits a Growing Maid Service?

If you run a house cleaning company on ZenMaid, you probably picked it for good reasons. It's built for maid services, it's affordable, and lots of owners like it. ZenMaid has a 4.7 out of 5 rating from 205 reviews on Capterra.

But software that works at 3 cleaners doesn't always fit at 12. Maybe you want a website and booking form in one place. Maybe you're tired of charging cards by hand after every job. Or maybe you want the card held before the clean even starts.

That's usually when owners start searching for a ZenMaid alternative. This guide compares ConvertLabs and ZenMaid side by side so you can decide which one fits where your business is going. We'll be straight about where each tool fits best, including where ZenMaid is the better pick. Want to try it as you read? Start your free trial of ConvertLabs.

ConvertLabs and ZenMaid at a glance

What ZenMaid does well

ZenMaid is scheduling software built only for cleaning companies. According to its pricing page, it offers three plans, each with a 14-day free trial and month-to-month billing:

  • Starter, $19/month: up to 40 appointments a month, calendar, dispatch and map views, a mobile app (without cleaner GPS tracking), Stripe and Square payments, invoicing, and chat-only support.

  • Pro, $39/month: unlimited appointments, digital checklists, cleaner GPS tracking, booking forms for your website (with ZenMaid branding), reports, payroll, Spotfinder for slotting in new recurring customers, and a QuickBooks integration (listed as "coming soon").

  • Pro Max, $49/month: adds cleaner availability and PTO tracking, service ratings, data export, Mailchimp and Zapier integrations, booking forms with your own branding, and priority support.

ZenMaid's pricing page notes "SMS charges not included" on every plan. The page also has a "calculate your price" tool that asks how many cleaners and office managers you have.

On payments, ZenMaid works with Stripe or Square and adds no fees of its own. Cards are saved on file when a client pays an invoice, and you can batch-charge completed appointments from the calendar. ZenMaid's credit card processing FAQ says it "does not support deposits or pre-authorizations" right now. It suggests sending a card authorization form instead.

What ConvertLabs does well

ConvertLabs is booking, payments and website software for cleaning and home-service businesses. It's used by 1,000+ service businesses and has processed 300K+ bookings, according to convertlabs.io. The idea is one dashboard for the whole operation: your website, booking form, scheduler, payments, team app and marketing.

Plans on the pricing page (billed monthly, 7-day trial, no contracts):

  • Basic, $67/month: website included, customer and service provider portals, up to 5 service providers, up to $5,000 in monthly revenue, email support.

  • Professional, $197/month: up to 15 service providers, the iOS and Android provider app, scheduler, auto-charge, email marketing, SMS notifications, checklists, Zapier and NiceJob integrations, and priority support.

  • Enterprise, $397/month: multi-location support, unlimited admin and staff accounts, customizable checklists, Airbnb iCal sync, webhooks, and live chat support.

ConvertLabs takes no cut of your revenue and charges no per-booking fees. You pay standard Stripe processing fees. There are no caps on bookings, customers or jobs on any plan.

The real difference: how you get booked and paid

Both tools put jobs on a calendar and send reminders. The bigger difference shows up in two places.

1. Your website and booking form in one place

ZenMaid gives you a booking form to embed on a website you already have. ConvertLabs includes the website itself. Pick a theme, connect your domain, and the booking form is already wired in. Already have a site you love? You can drop the ConvertLabs booking widget onto it instead.

On a ConvertLabs online booking form, customers see real-time availability and pricing. Frequency discounts are built in, and promo codes and gift cards apply at checkout. Then they book with a saved card, even at 2 a.m.Cleaning business owner reviewing a booking calendar on a tablet at his desk

2. Getting paid without chasing anyone

On ConvertLabs, you can authorize the card when the client books, and it's charged automatically once the job is complete. Recurring visits generate themselves after each completed clean and can keep the same cleaner assigned. You can also set fees for late cancellations and same-day bookings.

Victoria Westcott, co-founder of Oak Bay Clean, puts it simply: "On Convertlabs the card is held at booking, charged automatically when the job is complete, and recurring visits run on their own once they're set up. Chasing payments is basically off our plate."

Who each tool fits best

ZenMaid may be the better fit if you:

  • Are just starting out or doing fewer than 40 appointments a month, and want the lowest monthly cost

  • Already have a website you're happy with and only need a scheduler and booking form

  • Prefer Square for payments, or want payroll and PTO tracking built in

  • Are fine charging cards in batches rather than holding them upfront

ConvertLabs may be the better fit if you:

  • Want your website, booking form, scheduling and payments in one system instead of several tools

  • Want cards held at booking and charged automatically when the job's done

  • Want built-in email campaigns, lead capture, gift cards and referral codes

  • Are growing toward multiple crews or locations, or clean Airbnb turnovers

  • Value fast, hands-on support and a community of cleaning owners sharing what works

To be clear, ConvertLabs costs more per month than ZenMaid. What you're comparing is what that monthly price replaces. If you'd otherwise pay separately for a website, an email marketing tool and a booking form, add those up before deciding.

How to switch from ZenMaid to ConvertLabs

Switching software mid-season is the part most owners dread. Here's how to make it painless.

Step 1: Move your client list

Start by exporting your client list from ZenMaid. Data export is listed on ZenMaid's Pro Max plan, so check what your plan includes. ZenMaid's terms say you own your client data. The ConvertLabs team can walk you through bringing your clients and bookings over.

Step 2: Rebuild recurring schedules

List each recurring client's frequency, day, time window, price and assigned cleaner. In ConvertLabs, set the frequency on the next upcoming booking and future visits generate automatically. Turn on "Carry on Service Providers" so the same cleaner stays assigned. Pick a cutover date and run both systems in parallel for a week so no visit falls through the cracks.

Step 3: Handle saved cards

Card numbers can't be exported in a spreadsheet, so plan this step carefully. You have two options:

  • Re-collect cards: Send each client a secure credit card link from ConvertLabs. Once they enter it, the card attaches to their booking and future recurrences.

  • Migrate stored cards: If your cards are stored in Stripe, ask ConvertLabs support whether your existing customers and cards can carry over when you connect that Stripe account. If your cards live in Square, Stripe offers a secure payment data migration from other processors.

Step 4: Go live

Point your domain to your new ConvertLabs site, update the booking links in your Google Business Profile and emails, and let clients know about the new booking portal.

The bottom line

ZenMaid is a solid, affordable scheduler made for cleaning companies, and it's a good fit for newer or smaller teams. If you're growing and want your website, booking, card holds, automatic charging and marketing in one place, ConvertLabs is the ZenMaid alternative built for that next stage.

Recurring Revenue in Cleaning: Creating Predictability in Your Business

One-time deep cleaning and move-out jobs help to cover the costs, but they do not contribute much towards building a sustainable business. What helps companies to predictably grow year after year is almost always their ability to make a significant portion of their customer base become recurring: weekly, biweekly or monthly bookings which populate the calendar automatically without the need to constantly find new clients.Recurrence of revenue is not an outcome of luck or natural customer loyalty. Rather, it is a planned approach that revolves around pricing, timing, and retention that is possible to implement by any company providing cleaning services, including a company trying to learn how to establish such a company. A system that facilitates the management of recurringly scheduled jobs and automatically billing reduces the manual work necessary to manage recurrent services.
